In this article we cover how to add a web confirmation template for your property. Web confirmation letters can be created to send confirmation letters from a service/ticket within ALICE. Creating a template for these types of communication can save you time.
Web confirmation letters:
- Created within ALICE.
- Can make changes as needed on the fly within ALICE.
- Can only change what is provided in the ALICE template manager.
- Use an internal coding for template tags.
- Able to automatically pull all fields from a ticket using {DetailsforGuest}. If a field for a service has any changes, you will not have to edit the template coding.
Template Tags
One of the main differences between Word and Web templates are the template tags that are used to automatically pull information into the message at the time of sending.
The template tag uses internal coding. For custom fields, it is {value-of=[Service Option Name]}.
For example, {value-of=[From]} will pull ‘From’ within that specific ticket. To edit this, you can change the ‘From’ portion.

User Type & Roles:
To perform this action in ALICE, the user must have at least Hotel User Admin or Admin User Type access.
The user must have Can Manage Chat Message Templates enabled within their user profile.
Steps:
- Navigate to Admin > Messaging > Message Templates
- Click on Add Message Template
- Fill in Message Template Name.
Select the Message Templates Scope for the drop-down list.
- Hotel: The template will show up all the time and would be used for a very generic letter.
- Service: The template will only show for that service and will have verbiage related to that service. If this option is chosen, you will have an additional drop-down list appear where you will need to select the service.
- For Message Templates Type, choose ‘confirmation letter’.
- Template format, choose web.
- Enter the subject of the email in the Email Subject Template field.
- Fill in the Message Body Template field with the message you want to the guest to see in the Confirmation Letter..
- Fill in the Email Body Template field with the message you would like the guest to see when they receive the Confirmation Letter in an email.
- Select Save.
Edit Message Template
Steps
- Select Message Templates from the ALICE Admin menu.
- Select a Message Template to highlight.
- Select “Edit Message Template”.
- Update the Message Template details as needed.
- Select “Save” to update the template.
