The Hook
Use this workflow to create Location Groups (categories like floors or room types) and define individual Locations (specific rooms or areas) related to tickets, guest reservations, housekeeping tasks, and inventory items.
Before you begin...
• Requires Hotel Admin User Type access.
• Location Groups should be created prior to adding individual Locations.
• If uploading Locations for use with Housekeeping, location names must match the PMS format exactly (including leading zeros).
The Steps
Adding Location Groups
1. Navigate to Location Groups from the Alice Admin menu.
2. Click Add to add an empty line to the bottom of the list.
3. Enter a name for the Location Group (e.g., "Floor 1" or "Section A").
4. Select a Location Group Type from the dropdown. (Note: Select Custom only if the group type falls outside existing options).
5. Click Save at the bottom of the page
Adding a Location
1. Select Locations from the Alice Admin menu.
2. Click Add Location.
3. Enter the Name for the area (e.g., Lobby) or guest room.
4. Select the Guest Room checkbox if the location is a guest room. (Note: This step is critical for accounts using Preventative Maintenance and/or Housekeeping).
5. Enter optional details, such as a Phone/Intercom number or the number of Housekeeping Credits assigned to the room.
6. Add the applicable Location Groups to categorize the location.
7. Click Save to add the location to the list
Edit Location
Steps:
- Select a Location from the Location list to highlight.
- Select Edit Location.
- Update the Location details as needed.
- Select Save to update the location details.
Sort Locations:
1. Select a Location from the list to highlight it, then click Edit Location.
2. Update the details and click Save.
3. To sort the list, click Sort Locations.
4. Drag and drop the locations into the desired order, then click Save
The Result Success: The new locations and groups will appear in Alice and provide more information about the physical spaces related to your property's daily operations.
Troubleshooting
• Note: Each Location Group must be unique (e.g., differentiate "Floor 1, Section A" from "Floor 2, Section A").
• Note: Each room should only belong to one Floor. Consider adding a "Common Area/Public Area" Location Group for rooms that do not belong to a specific floor.
• Note: Character limits apply to Location Groups: Floors and Section Names have a 10-character limit, and Room Types have a 4-character limit.
