AL: How To Configure Guest Room Tracker

The Hook The preventative maintenance of rooms is a critical component in guaranteeing an excellent in-room experience. Use this workflow to configure the Rooms PM Tracker to increase visibility and accountability for your cross-departmental preventative maintenance processes.

 

Before you begin...

• Requires Hotel Admin User Type access.
• This feature is available only to customers who have purchased Alice Preventative Maintenance.
• The Guest Room Tracker Logbook must first be enabled by Alice Staff. You must contact your Customer Success Manager to enable it.
• Once enabled, the Guest Rooms Tracker Logbook will automatically populate with any locations that have been marked as a guest room on your Locations list.
• The Guest Room Tracker Logbook can display a maximum of 3 Services in the Tracked Services dropdown. Adding more than 3 Services can lead to degraded system performance.

The Steps

1. Contact your Customer Success Manager to enable the Guest Room Tracker. (Note: Once enabled, a Logbook will auto-populate in the Logbooks Tab with any locations marked as Guest Rooms).
2. Create a Service for the Guest Room Preventative Maintenance Tasks.
3. Enable the Include in Rooms Tracker checkbox on the Service settings in Alice Admin. (Note: This checkbox is available at both the individual property and group level and will display the Service in the Tracked Services dropdown on the logbook).
4. Create the Service Options for the PM - Guest Room Service. This should include a series of checklists or tasks to complete during the PM process for a guest room.

The Result Success: Your Guest Room Tracker Logbook will be fully configured and ready for your Engineering, Housekeeping, and Front Desk teams to manage guest room preventative maintenance.
