Preventative Maintenance (PM) workflows allow Engineering teams to proactively schedule work for guest rooms and equipment assets. Use this workflow to manage the "Guest Room Tracker" or schedule recurring maintenance for specific equipment.
Before you begin...
• Requires Employee User Type access.
• Must have access to the Logbooks tab and Add/View/Edit Tickets for the Preventative Maintenance Facility.
• Guest Room Tracker must be enabled by Alice Staff (contact Support) and Locations must be marked as "Guest Room".
• Equipment Logbooks must be configured with Inventory Items.
Using the Guest Room Tracker
1. Navigate to the Logbooks tab and select the Guest Room Tracker logbook.
2. Select the Tracked Service from the dropdown (e.g., "Room PM").
3. Locate the specific room in the list. Use the search bar to filter by room number if necessary.
4. Click the + sign in the row corresponding to the room.
5. Update the Due Date if appropriate and Click Save.
6. The ticket will populate in the "Tickets" column with its current workflow status.
Scheduling Equipment Maintenance
1. Navigate to the Logbooks tab and select the Equipment/Asset Logbook.
2. Select an Inventory Item (asset) to view its details.
3. Select the Associated Tickets tab within the item details.
4. Click +Add under the Schedule section.
5. Select a Service and enable Repeat to set a recurring maintenance cadence (e.g., Monthly Filter Change).
6. Click Save. The ticket is created and linked to the specific room or asset. For Room Tracker, the "Last Completed" column updates once the ticket is closed.
Troubleshooting
• The Guest Room Tracker can display a maximum of 3 Services in the Tracked Services dropdown.
• Enable "Roll Over" on PM tickets to ensure unfinished tasks transfer to the next day's list.
