The Hook Use this workflow to create, edit, and distribute confirmation letters to guests via email, PDF, or printout directly from a ticket.
Before you begin...
• Requires at least Employee User Type access.
• Requires the following Role settings enabled: Access to the Ticket List tab and Access to View Tickets.
The Steps
1. Select a ticket associated with a guest to open the ticket details.
2. Click Letters.
3. Select a template from the dropdown menu (if multiple Confirmation Letter templates are available). (Note: If a template is in "Microsoft Word" format, you will be prompted to download the document).
4. Edit the template text within the text box on the left side of the window as needed. You can view a live preview of the letter on the right.
5. Select an option to provide the Confirmation Letter to the guest:
◦ Send as Email: Opens a window to send the Confirmation Letter directly from the user email in Alice. The letter will be sent as a PDF attachment.
◦ Save as PDF: Saves the Confirmation Letter as a PDF file to your device.
◦ Print: Sends the Confirmation Letter to a printer.
The Result Success: The confirmation letter is successfully generated and distributed to the guest or saved to your device.
Troubleshooting
• Note: Unlike itineraries, Confirmation Letters are not saved in Alice and cannot be saved to the guest reservation profile.
• Note: Users with View access will also receive notifications for unassigned tickets.
• Note: To add a custom confirmation letter to your account, contact support@actabl.com.
