If a direct API integration is not available, properties can email PMS reports to Alice to populate guest data. Use these workflows to configure and send the "Arrivals" and "In House" reports from OnQ or Opera.
Before you begin...
• Requires access to OnQ or Opera reporting modules.
• Reports must be sent to connect@pms.alice-app.com,.
• Important: The email subject line must remain consistent every time (e.g., "Hotel Name - In House").
Option A: OnQ Manual Parsing
1. Locate the Occupied Rooms report under "All Reports" in OnQ.
2. Preview the report to ensure accuracy (do not change preset settings).
3. Click Export and select CSV file.
4. Leave popup boxes unchecked and click OK.
5. Save the report as "Hotel Name – In House".
6. Email the file to connect@pms.alice-app.com.
7. Recommendation: Send this report three times daily (AM Shift, PM Shift, Night Audit).
Option B: Opera Simple Report Setup
1. Navigate to Configuration > Setup > Report Setup > Reports.
2. Click New and select Simple Report.
3. Configure the report details:
◦ Report Name: Arrivals Alice [Property Name]
◦ File Name: arrivalsalice[propertyname]
◦ Destination: File or Email (if automated).
4. Click Columns and add the following required fields:
◦ Confirmation #
◦ Arrival Date / Departure Date
◦ First Name / Last Name
◦ Room Number (for In-House reports)
5. Save the report layout.
6. Schedule or manually export as CSV or XML and email to Alice. Guest profiles in Alice will update with the data from the latest report.
Troubleshooting
• Note: Upon the first send, contact support@actabl.com to confirm the report has been mapped correctly.
